Barcode vs QR Code Asset Tags

Short answer

Use barcodes when the task is to capture an asset number quickly with dedicated scanners. Use QR codes when staff will scan with phones, or when the tag should lead to a record rather than only report a number.

Both codes do the same fundamental job — they let a machine read an identifier without a human typing it. They differ in capacity, hardware and the workflows they suit.

Choose a barcode when

  • You are verifying hundreds or thousands of assets in one exercise
  • Your team already has scanners, or will buy them
  • The only thing you need from the scan is the asset number
  • Tags are small and the identifier is short

Choose a QR code when

  • Staff will scan with their own phones rather than scanner hardware
  • The scan should open an internal record, inspection form or log
  • Tags are exposed to wear and error tolerance matters
  • You need more than a plain number encoded

You can use both

Where the tag is large enough, a barcode for stores and finance counts and a QR code for maintenance staff can sit on the same plate, alongside the printed number. The constraint is legibility, not principle.
